Documents and files
Everything you upload to Zunderwork lands in one place: Documents in the main menu. A course cover, the video in a lesson, the handbook people download at the end, your organization logo. They all come from the same library, so a file you upload once can be used in as many courses as you like.
Uploading a file
Open Documents and choose Upload file, or simply drag a file from your desktop anywhere onto the page. The upload starts straight away and you can follow the progress. Larger files finish with a short processing step before they appear in the list.
Withing an organization, only administrators and managers can upload. Everyone else in your organization sees the library and can open and download what is in it, but not add, change, or remove anything.
What you can upload
You can only upload material that a course needs, such as:
- Images: photos, diagrams, screenshots. Used for course covers, image blocks, and hotspot exercises.
- Video: the recordings you show in a lesson.
- Audio: recorded instructions or fragments people listen to.
- PDF and office documents: handbooks, checklists, forms, spreadsheets, slide decks.
Tip
Give a file a name people will recognise later. The name you see in this list is the same name you pick from when you are building a lesson, and final_v3_last_version_really.pdf helps nobody a year from now.
Finding a file back
The search box looks at both the name and the description of a file, so a good description makes a file easier to find later. You can sort the library by name, by size, or by upload date, and switch between the list and the grid view with the buttons at the top. The list view shows you who uploaded a file and when, the grid view shows you a preview.
Use Edit in the actions menu to change a name or description afterwards. That only changes how the file is labelled in Zunderwork, not the file itself, and not anywhere it is already used.
Using a file in a course
You rarely need to visit Documents to use a file. Wherever a lesson asks for something, you get the same picker: the image block, the video block, the file block, the hotspot exercise, the course cover, and your organization logo. In that picker you choose a file that is already in your library, or upload a new one on the spot. Either way it ends up in Documents.
The picker only offers files that fit the spot you are filling. An image block shows you images, a file block shows you documents. If a file you expect is missing there, it is usually of a different type than the block accepts.
Downloading
Download in the actions menu gives you the file back as it was uploaded, under the name it has in Zunderwork. Anyone in your organization can do this, which is exactly the point for material like a handbook or a checklist.
Deleting a file
Delete removes the file for good. It is gone from storage immediately, there is no bin to recover it from, and we do not have a copy to restore.

What learners see
Everyone in your organization can open Documents and see the full library. There is no per-file visibility setting, no private folder, and no way to share a single file with only one team.
Outside the organization, nobody can see or access your files. When a file is requested, a special signing link is created which expires fast.
That makes it a great place for material everyone may read, and the wrong place for anything else. Personnel files, salary data, and anything else that is not meant for the whole organization do not belong here.
