Notification defaults

Most organizations want the same reminder policy everywhere: a message when someone is added to a course, a reminder a week before the deadline, a nudge when it has passed. Setting that up on every course, and remembering it on every new course, is work you should not have to do.

That is what Organization, Notifications is for. Rules you add there apply to every course in your organization.

#How it works

The editor is the same one you use on a course, with the same fields: When, Tone, an optional Repeat, and Also notify. What those fields do is explained on the course notifications page, and nothing about them changes here.

The difference is reach. A default is not copied into your courses; it is evaluated for each of them, one by one, every day. Add a default today and it applies to the courses you made last year as well as the ones you make tomorrow.

Each course can step out. In the course's own Notifications section there is an Inherit toggle: leave it on and the defaults fire alongside the course's own rules, turn it off and that course sends only what is set up on it. Inheritance is on for new courses, so a default reaches everything unless someone deliberately opts a course out.

#What defaults are good for

Use them for policy that is true regardless of subject.

• A reminder a set number of days before any deadline.
• A follow-up after any deadline has passed.
• A confirmation when anyone completes anything.

Leave to the individual course anything where the timing or the wording depends on the subject: the urgent tone that suits a safety course but not an onboarding module, a reminder cadence that only makes sense for a long programme, or a course that should stay quiet altogether.

#Two things to keep in mind

A default reaches courses you were not thinking about. Every course that inherits, including drafts you have forgotten and courses another administrator made, is evaluated against your rule. Before you add a repeat every three days, picture it running on all of them at once.

Also notify applies organization-wide. Adding a manager to a default means they hear about every course that inherits it, not just the ones they own. For anything narrower, put the rule on the course instead.
